REFUND & CANCELLATION POLICY
Rules for applicant cancellations, deferments, programme changes and refunds

1. Scope
This Refund & Cancellation Policy applies to payments made to IIAM, for IIAM Programmes, including the Fellowship in Aesthetic Medicine & Medical Cosmetology, the Advanced Course in Scalp Micropigmentation, Focused Clinical Workshops and any other Programme that expressly incorporates this Policy.
A Programme-specific written confirmation may contain additional or different terms where justified by its duration, customisation, consumables, patient/model arrangements or third-party commitments. Any such term must be disclosed before payment and must remain subject to applicable law.
2. Definitions
- “Programme Start Date” means the first scheduled academic activity stated in the Programme Confirmation, including a mandatory online orientation or release of paid digital learning where expressly identified as commencement.
- “Registration / Booking Fee” means a 50 percent amount of the total applicable fee (or as approved in writing) charged to process admission and reserve a seat.
- “Tuition Component” means the Programme fee excluding GST, Registration / Booking Fee, separately identified materials, third-party charges and amounts already delivered or irrevocably committed.
- “Working Day” means a day other than Sunday or a public holiday observed by IIAM in Pune.
3. Before making payment
Applicants should review eligibility, course format, dates, venue, certificate status, fees and this Policy before payment. Payment should not be made merely on the basis of an informal or third-party representation. Applicants may request written clarification from IIAM.
4. Seat reservation and admission
A seat is reserved only after IIAM confirms eligibility or provisional eligibility, receives the required payment and issues a written confirmation. A payment made without satisfying eligibility does not automatically secure admission.
If IIAM declines an Applicant before admission because the Applicant does not meet the disclosed eligibility requirements, amounts received will be refunded, less actual non-recoverable payment gateway charges, provided the Applicant supplied complete and truthful information. No refund is due where admission was obtained or attempted through materially false, forged or concealed information, subject to applicable law and IIAM’s actual loss.
5. Applicant cancellation — recommended schedule
An Applicant may request cancellation by written email from the registered email address. The time of receipt at [email protected] will determine the applicable period.

6. Registration / Booking Fee
The Registration / Booking Fee as may be disclosed in writing, is intended to cover application review, counselling, administration and seat reservation. It is ordinarily non-refundable after admission confirmation, except where IIAM cancels the Programme, rejects an otherwise truthful Applicant as ineligible before confirmation, or a refund is required by law.
7. Taxes and payment charges
Refunds will be calculated on the amount actually received by IIAM. GST and other taxes will be adjusted in accordance with applicable tax law and credit-note requirements. Actual non-recoverable bank, card, payment-gateway or foreign-exchange charges may be deducted where lawfully permissible and transparently shown.
8. Deferment to another batch
A Participant who cannot attend may request a one-time deferment by written notice at least 15 calendar days before the Programme Start Date. Deferment is subject to eligibility remaining valid, seat availability, payment of any fee difference, and a deferment charge of charge as may be conveyed in writing.
The deferred admission must be used within 6 momthd from the original Programme Start Date. A deferred seat is not refundable merely because the Participant later cannot attend the alternative batch. Further deferment subject to written approval and charges as may be applicable.
Where notice is received fewer than 15 days before commencement, IIAM may deduct or require reimbursement of actual, documented costs already committed for faculty, venue, patient/model coordination, kits, devices, consumables, accommodation or third-party services.
9. Transfer or substitution
Admission is personal and may not be sold or transferred. A substitution may be considered only before commencement, with IIAM’s prior written approval, where the substitute independently satisfies eligibility, submits documents and pays any administrative or fee difference. Substitution may be considered upto 15 days before start.
10. Focused Clinical Workshops and customised arrangements
A Focused Clinical Workshop may involve bespoke faculty time, patient/model coordination, devices, consumables or venue commitments. Its written quotation may therefore specify a separate booking fee and cancellation schedule. Any special schedule must be accepted before payment and will prevail over the general schedule only for that Workshop.
Where actual non-recoverable costs have already been committed specifically for the Applicant, IIAM may deduct those costs from an otherwise available refund, provided the nature of the cost can be reasonably explained.
11. Digital access, kits and delivered components
Where paid digital modules, recordings, manuals, kits, consumables or other separately valued components have already been supplied or activated, the value of the delivered component may be deducted from a refund to the extent reasonably attributable and permitted by law. Access may be disabled after cancellation.
12. Cancellation or rescheduling by IIAM
IIAM may cancel or materially reschedule a Programme because of insufficient enrolment, faculty illness, clinical or patient-safety considerations, venue unavailability, government direction or other operational reasons. IIAM will inform affected Participants as soon as reasonably possible.
If IIAM cancels a Programme and does not provide an accepted alternative, IIAM will refund all Programme amounts received for the cancelled Programme, including the Registration / Booking Fee. If IIAM offers a materially rescheduled date and the Participant cannot reasonably attend, the Participant may request either transfer to another available batch or a refund of the undelivered Programme amount within 15 days of notice.
Unless expressly agreed in writing or required by law, IIAM is not responsible for independently booked travel, accommodation, leave, visa, loss of income or other consequential expenditure. Participants are advised to use flexible bookings until the Programme is confirmed.
13. Minor schedule or faculty changes
A reasonable change in faculty, session order, timing, room, device, mode for a limited component, or venue within the notified city does not by itself create a refund right where the essential academic offering remains substantially available. A material reduction in the promised Programme will be addressed fairly through replacement delivery, credit, proportionate refund or another appropriate remedy.
14. Force majeure
Where events beyond reasonable control prevent delivery, IIAM may reschedule, relocate, change the mode of an affected component or provide an equivalent alternative. Such events may include natural disaster, epidemic, government restriction, civil disturbance, strike, transport interruption, power or internet failure, faculty medical emergency or venue closure.
If IIAM is unable to deliver the materially undelivered component within 6 months and no reasonable alternative is accepted, IIAM will provide a proportionate refund or credit for that undelivered component, subject to applicable law.
15. Removal or termination for participant default
Where enrolment is terminated because of material non-payment, forged credentials, serious misconduct, patient-confidentiality breach, unsafe conduct, unauthorised recording, intellectual-property misuse or unlawful activity, IIAM may retain amounts reasonably attributable to services delivered, seat reservation, committed costs and actual loss. Any balance, if due, will be handled fairly and subject to applicable law. Termination will not convert a completed or consumed component into a refundable one.
16. Refund request procedure
A refund request must be sent to [email protected] and should include the Participant’s name, registered contact details, Programme, batch, invoice / receipt number, payment date, reason for request and bank details where required. IIAM may request reasonable identity and payment verification.
Approved refunds will ordinarily be initiated within 15-21 Working Days after approval and receipt of complete information. The receiving bank or payment provider may take additional time. Refunds will normally be returned through the original payment route where feasible; cash refunds will not be made.
17. Chargebacks and disputes
Applicants should first use the stated refund and grievance process. A chargeback or payment dispute based on false information may be contested with enrolment, attendance, access and communication records. This clause does not prevent a person from using a lawful remedy.
18. Exceptional circumstances and statutory rights
IIAM may consider documented medical emergencies, bereavement or other exceptional circumstances on a case-by-case basis, including deferment or credit. Discretionary relief is not guaranteed and does not amend the Policy generally.
Nothing in this Policy excludes a refund, compensation, cancellation right or other remedy that must be provided under applicable law. Deductions should remain reasonable and connected to administration, delivery, seat reservation or actual committed cost rather than functioning as a penalty.
